Privacy Policy

This policy explains how IWP Community Connections collects, uses, stores, and protects information submitted through the platform.

Information we collect

We may collect information you voluntarily provide when browsing or registering for an adventure, including your name, email address, phone number, household or participant counts, payment status, acknowledgements, accessibility or participation notes, emergency contact information when requested, and other registration details.

How information is used

Information is used to manage event registrations, capacity and waitlists, communicate event updates and reminders, coordinate payments, support participant safety, provide organizer tools, and improve Community Connections activities.

Google account information and permissions

Organizer sign-in uses Google authentication only to identify approved organizers. Transactional email is sent from the dedicated IWP Community Connections Gmail account using the Gmail API with send-only permission. Community Connections does not read, modify, or delete messages in that mailbox.

Information sharing

We do not sell personal information. Registration information may be shared with authorized IWP organizers and trusted individuals who need it to coordinate a specific activity, support participants, process event logistics, or comply with legal obligations.

Payments

The platform may record payment status or payment method selections. Unless explicitly stated during registration, the platform does not directly collect or store complete credit card or bank account information.

Data storage and retention

Event, organizer, registration, and application data is stored in Cloudflare D1. Newly uploaded adventure images are stored in Cloudflare R2. Some legacy public adventure images may continue to be served from their existing Google Drive links until they are replaced. Records may be retained for event administration, reporting, safety, accounting, and organizational purposes, then deleted or anonymized when no longer reasonably needed.

Security

Reasonable administrative and technical safeguards are used to protect information. No online system can guarantee absolute security, and users should avoid submitting unnecessary sensitive information.

Your choices

You may request correction or deletion of your registration information, subject to legal, accounting, safety, or operational retention requirements. You may also ask to stop receiving nonessential event communications.

Children's information

A parent or legal guardian should submit information for participating minors. The platform is not intended for children to create independent accounts or submit information without appropriate adult involvement.

Third-party links

The platform may link to Facebook, the Invisible Wounds Project website, maps, payment services, or other third-party resources. Their privacy practices are governed by their own policies.

Changes to this policy

This policy may be updated as the platform changes. The effective date shown above will be revised when material updates are made.
